Weyerhaeuser Grande Prairie lumber manufacturing facility is looking to fill a Project Administrator role. This position will report to the Area Engineering Manager with direction by Project Manager.
General Project Admin Duties:
- Drawing Control & Filing (tracking of transmittals and ensuring stick files are kept current)
- Plotting / Printing / Photocopying
- Meeting Minutes (Drawing Reviews, Project Team Meetings, Steering Team Reviews, Vendor Meetings); Assign tasks and next steps
- Order resources & office supplies
- Compile information for any relevant Trip/Travel Reports
- Transcribing notes and audio files; writing letters & memo’s
- Organize and Store required paperwork
- First Point of contact for telephone and email inquiries
Cost Tracking & Reporting Duties:
- Assist with any financial related issues on the project
- Enter additional data for tracking project costs; update records of spending
- Ensure that mill charges are captured in the superior Work Order and in the project financial system (every month end)
- Assist the project manager and purchasing department by setting up vendor meetings and interactions
- Ensure that purchase orders (PO’s) are complete with cost codes and relevant tracking data
- Expedite tasks and follow up with vendors as required
- Gather timesheets for non-salaried project support resources and send for approval thru personnel in charge which is determined by Project Manager(s). Must be completed before month-end and separated for capital and expense hours.
- Assist in tracking of hours tracking sheet with Financial Manager and Area Engineering Manager.
- Assist in vacation and onsite schedule tracking for Project Team. Coordinate with all applicable parties to ensure schedule stays up to date
SAP/Purchasing/Stores Duties:
- Data Transfer from SAP to Excel; SAP Queries
- SAP entries of hours, costs, service entries, goods receipts
- Assist in stores research of obsolete parts/items
- Assist in receiving, unloading, moving materials – as required
- Invoice reconciliation
Qualifications:
- All applicants must have a Grade 12 diploma or equivalent
- Diploma in Office or Business Administration or equivalent would be a definite asset
- Willingness to follow all safe work practices and procedures
- Ability to communicate effectively and develop effective working relationships
- Must work effectively as an individual and as a team member
- Ability to handle multiple priorities at once through well-developed time management skills
- Ability to work effectively with a broad range of people of different backgrounds and experience levels
- Skilled in Microsoft Office with a high level of proficiency in Microsoft Excel
